Reports to: Vice President of Administration

Position Purpose:  This is a permanent full-time position with a 3+2 hybrid work schedule. The Grants Manager oversees all components of grants processing, including structure of grants, regulatory compliance, and sharing of grants information with program, finance, and administrative staff.  Ensures quality and timeliness of all aspects of grants processing and management. As Program Administrator this position will serve as primary interface with principal investigators regarding pending proposals and grant administrative questions, procedures, payments and/or problems. 

Knowledge/Skills:  Must possess exceptional organizational skills, excellent oral/written communication skills, and interpersonal skills. Experience with grants management a plus. Must have experience leading a collaborative team. Knowledge of SmartSimple and Microsoft Outlook is helpful. 

Education/Experience:  Bachelor’s degree preferred with a minimum of 4-5 years administrative and professional office experience.

Principal Activities:

Support and Facilitate grants processes across grant programs and the program administrative staff:

  • Coordinates work of the program administrative team.
  • Fosters a culture of collaboration and collective learning regarding grant processes.
  • Co-leads program administrative meetings.
  • Updates and maintains written policies for all grant making.
  • Sets deadlines and timelines for each program and review cycle. 
  • Reviews and approves grant budgets.

Coordinates administrative aspects of the review process for research proposals, ensuring that each segment of the process is concluded in a timely manner, including:

  • Reviews proposals for completeness and secures missing information from principal investigators.
  • Distributes proposals to Program Directors as required and organizes the review process.
  • Processes requests for honorarium payments to external reviewers and committee members.
  • Oversees all other administrative and processing tasks related to the applications and review process.
  • Prepares all grant-related correspondence.

Physical RequirementsThe position requires occasional lifting, pulling, or pushing objects of less than 25 pounds.  Bending, kneeling, and carrying are also occasionally required.  A significant amount of time is spent sitting.  The primary repetitive motion in which the incumbent is engaged is keyboarding.

Sensory Requirements:  Visual and auditory acuity required.

Environmental Conditions: Professional office environment. (3 days in office + 2 days remote)
